Zoho Desk Pricing in 2026: Plans, Agent Costs and the Bits That Catch People Out

Zoho Desk has five tiers and a free plan, and the cheap ones are cheap for a reason. Here's what each tier actually unlocks and where the bill grows.

Zoho Desk is one of the easier helpdesk products to buy on price alone, which is exactly why teams end up on the wrong tier. The gap between Express and Professional is not a handful of nice-to-haves — it is whether you can run phone support, route across departments, or automate anything meaningful. This guide walks the tiers as a support manager would evaluate them, then covers the costs that sit outside the sticker price.

Where the real dividing line sits

Most buyers assume the decision is Standard vs Professional on features they can live without. In practice three things force the upgrade, and it is worth knowing which one applies to you before you sign an annual contract.

  • Departments. If sales support, billing, and technical support need separate queues, SLAs, and agents who cannot see each other's tickets, you need multi-department — that is a Professional-tier capability.
  • Phone. If a meaningful share of your tickets start as calls, built-in telephony matters more than anything else on the list.
  • Light agents. Engineers, account managers, and finance staff who need to read tickets and comment but never own them shouldn't cost a full seat. Light agents are billed at a fraction of a full agent (roughly ₹345 each per month), and Enterprise bundles a block of them free.

Monthly vs annual billing

Monthly billing costs roughly 18–20% more per agent than annual. That premium is worth paying while you are still deciding whether Desk fits, and worth dropping the moment your ticket volumes and team size stabilise. A reasonable pattern: run monthly for the first quarter, review agent count honestly, then commit annually at the right number.

The costs that don't appear on the pricing page

  • Telephony minutes. Built-in phone support is a feature; the calls themselves are billed by your telephony provider.
  • Tax. 18% GST on Indian invoices, VAT where applicable elsewhere.
  • Seasonal agents. Support headcount often spikes in peak months — check whether your contract lets you add and drop seats mid-term or only add them.
  • Implementation. Ticket routing rules, SLA policies, escalation paths, knowledge base migration, and CRM linkage take real work. Budget for it separately from licences.
  • Integration effort. Connecting Desk to CRM so agents see deal context, or to a billing system so refunds are traceable, is usually where the value is — and where the setup time goes.

A quick way to size your bill

Count the people who will own and close tickets — that is your agent number. Count the people who only need to read and comment — those are light agents, not full seats, and getting this split right is the single biggest lever on cost. Multiply, add tax, then add a one-time implementation budget sized to how much routing and automation you need on day one.

Is Zoho Desk really free?

There is a genuinely free tier for up to three agents covering email ticketing, a knowledge base, mobile apps, and basic reporting. It is a reasonable starting point for a very small team, but it has no automation depth, no live chat, and no telephony — most teams outgrow it within a year.

What's the difference between an agent and a light agent?

An agent owns and resolves tickets and is billed at the full plan rate. A light agent can view tickets, add private comments, and be looped in for expertise, but cannot respond to customers or own a ticket. Light agents are available from Professional upwards at a much lower per-user cost, and Enterprise includes a block of them at no extra charge.

Can we change plans partway through the year?

Upgrades are generally straightforward and prorated. Downgrades and seat reductions are usually only possible at renewal, so err on the low side when you first commit annually — adding agents later is easier than removing them.
