Qntrl vs Zoho Creator: Which Should Run Your Business Processes?

Both tools can move a request through approvals, so buyers often compare them head to head. The real question is whether you need to orchestrate a process across teams or build an application around your own data.

A common conversation in Zoho projects goes like this: the finance team wants purchase requests approved properly, HR wants onboarding tracked, and operations wants vendor registrations to stop living in email. Someone suggests Qntrl. Someone else points out that Zoho Creator can do approvals too, and the company may already be paying for it through Zoho One. Both are right, which is exactly why the choice is confusing.

The short version: Qntrl is a workflow orchestration tool. You define stages, who owns each stage, what must be filled in, and who approves, and it enforces that path. Zoho Creator is a low-code application platform. You design the data model, forms, reports, pages and logic, and approvals are one feature among many. One configures a process; the other builds software.

When Qntrl is the better choice

  • The pain is visibility and accountability: requests stall and nobody knows who is holding them
  • The process crosses departments, each with its own approver, and you want stage-wise SLAs
  • Process owners need to change the flow themselves without waiting on a developer
  • Auditors or management need a clean, time-stamped record of who approved what and when
  • The data per request is modest: a form, a few attachments, a decision

When Zoho Creator is the better choice

  • The data is the product: records you will search, relate, calculate and report on for years
  • You need a mobile app for field staff with offline capture, photos or barcode scanning
  • Customers, dealers or vendors need their own portal with logins and filtered data
  • The logic is heavy: pricing rules, stock calculations, multi-step integrations with external systems
  • You want one application to replace several spreadsheets, not just route requests

What they cost

Both are licensed per user, so the comparison depends on how many people actually need a seat. In Qntrl, every participant who acts on a card needs access; in Creator, every user of the app does. Indicative list prices, billed annually:

PlanQntrl (approx., per user/month)Zoho Creator (approx., per user/month)
EntryFree tier for small teams; Standard around $20Standard around $8
MidEnterprise around $40Professional around $20
TopUltimate around $52Enterprise around $25; Flex by quote

Indicative USD list prices gathered from Zoho and third-party listings in 2026; regional pricing differs, monthly billing costs more, and Indian invoices add 18% GST. Zoho changes plans and limits periodically, so always verify current pricing on Zoho's official Qntrl and Creator pricing pages before you budget.

Two cost points often decide the matter. First, Zoho Creator is included in Zoho One, so if you already hold Zoho One licences the marginal licence cost of a Creator app may be zero; Qntrl is a separate subscription. Second, Creator's lower sticker price hides build effort: a well-built Creator app takes more design and development time than a Qntrl blueprint, and someone has to maintain the code afterwards.

Using both together

The two are not mutually exclusive. A pattern we use often is Creator as the system of record (vendors, assets, contracts) and Qntrl as the orchestration layer for the requests that touch it (vendor onboarding, asset disposal, contract renewal). Zoho Flow or webhooks pass data between them, so the approval history lives in Qntrl while the master data stays clean in Creator.

A quick way to decide

Write down the process on one page. If it reads mostly as a sequence of people and decisions, start with Qntrl. If it reads mostly as data, screens and calculations, start with Creator. If it is both, model the data in Creator first and add Qntrl only where cross-team approvals are the bottleneck. As a certified Zoho partner, we usually prototype the riskiest process in the lighter tool first, so you see it working before committing to a larger build.

Frequently asked questions

Can Zoho Creator replace Qntrl for approvals?

For simple approvals inside one app, yes. Creator supports approval workflows, but you design the escalation, reminders and audit logic yourself. Qntrl gives you those out of the box for multi-stage, cross-team processes.

Is Qntrl included in Zoho One?

Qntrl is sold as its own subscription, while Zoho Creator is part of the Zoho One bundle. Bundle contents change from time to time, so confirm the current Zoho One app list on Zoho's official site.

Which is faster to roll out?

Qntrl is usually faster for a single approval process because it is configured rather than built. Creator takes longer but produces a full application with its own data model, reports and portals.
